Optus' approach to managing supplier risk is structured into three stages. While the fundamental principles of risk management are consistent across each stage, the application of these principles may vary according to the type of risk and the stage of the contract.
Stage one – Pre contract award
Before awarding any contract, Optus must verify that Suppliers possess the necessary risk management capability, insurances and WHS resources applicable to the contract. The pre-qualification phase is conducted through CM3, which includes submitting a Safety Management Plan (SMP) and risk register to Optus for evaluation. For details on the essential elements of SMPs, please refer to the Safety Management Plans tab in the navigation bar
Stage Two - Operational Safety
Your contract has been awarded, a key user has been nominated by your organization, and setup in Donesafe is complete. Your Optus representative has made contact, and a contract pre-start (Kick Off) meeting has been conducted.
This is the point where theory meets practice, and your Safety Management Plan becomes operational. The commitments you've made to manage risks and explore opportunities for risk mitigation are now implemented and integrated into everyday business operations.
Stage Three – Monitoring and Review
Now work has commenced, Optus will initiate a monitoring process to verify the effectiveness of controls and compliance with your Safety Management Plan. Audits and site inspections will be conducted to monitor your performance during the Operational phase of the contract.
Your organization will need to submit a monthly WHS report into Donesafe. You will be provided with a template and instructions for uploading. The specifics of the reports, including content and frequency, will be discussed during the Contract Kick-off meeting, and links for uploading will be provided at that time.
To ensure all safety documentation provided by the Supplier remains current and relevant to the work, Safety Management Plans and associated SWMS and risk registers will be subject to annual review by a Safety@Optus representative
